Print a Google Calendar: choose the range, the calendars and the details
Google Calendar prints what you are looking at, so the view and the ticked calendars decide what ends up on paper. A quick check before printing avoids handing out private appointments. Arte Soft, the developer of Cloud Calendars, wrote this guide.
Print checklist
| Setting | Where | Tip |
|---|---|---|
| Date range | View: Day, Week, Month, Schedule, 4 days | Navigate to the period first |
| Calendars | Left list check marks | Untick work and personal calendars |
| Layout | Preview: font size, orientation, weekends | Landscape for Month |
| Details | Schedule view > Print > Print descriptions / Print your response | Off for wide audiences |
What most people assume
Printing gives a fixed monthly layout of everything in my account.
Set the range and calendars
On a computer, pick a view at the top right: Day, Week, Month, Schedule or 4 days. That sets the range. In the left list, untick calendars you don’t want; Google says a calendar without a check mark is hidden.
Open print preview
Click Settings menu > Print to inspect the preview. Google documents font, orientation, weekends and colour options. For the specific Print descriptions and Print your response controls, its instructions first switch the view to Schedule, then open Print. Do not assume those detail controls appear in every grid view. Event locations or rooms may also appear when space permits.
Leave descriptions off for anything handed to others; notes often hold phone numbers, links or private context.
Changing font size can improve readability, but Google says it does not change the number of days on the page. Choose the view and period separately, then inspect the actual preview rather than infer a new date range from larger text.
Worked example: a fridge calendar for a family
A fictional parent prints next month’s family schedule. They choose Month view, tick only Family and School term dates, and untick their work calendar and Birthdays. In preview they pick Landscape, a larger font, and leave Print descriptions off.
For a babysitter who needs pickup notes, the parent switches to Schedule, opens Print and chooses Print descriptions only after reviewing the notes. They verify the intended dates in that preview rather than assume a Week grid has the same controls. The printed details are restricted to what the babysitter actually needs.
Check: read the preview for any private title before clicking Print.
After printing
A printout does not update. Date it, and reprint after changes. Re-tick the calendars you hid so your normal view returns.
