Recover a deleted Outlook calendar event: Deleted Items first, then the server
A deleted Outlook appointment usually goes to Deleted Items first, and can sometimes be recovered from the server after that. The steps differ between new and classic Outlook. Arte Soft, the developer of Cloud Calendars, explains what Microsoft documents.
Where to look
| Situation | New Outlook | Classic Outlook |
|---|---|---|
| Item in Deleted Items | Deleted Items → select → Restore | Deleted Items → Move → Other folder → Calendar |
| Deleted Items emptied | Recover items deleted from this folder → Restore | Recover Deleted Items from Server → Restore Selected Items |
| Not listed on the server | Ask your administrator | Ask your administrator |
| Restored meeting you cancelled | Notification not documented; contact attendees | Notification not documented; contact attendees |
What most people assume
Once Deleted Items is emptied, a calendar event is gone for good.
Step 1: Deleted Items
New Outlook: switch to Mail, select Deleted Items, select the event and choose Restore on the Home tab. Microsoft says the item is restored to your calendar.
Classic Outlook: select Deleted Items (or Trash), select the calendar item, then Home, Move, Other folder, choose Calendar and OK.
Step 2: recover from the server
If it isn’t in Deleted Items, Microsoft directs you to recover deleted items from the server. New Outlook: select Deleted Items, then Recover items deleted from this folder at the top of the list, tick the item and choose Restore. Classic Outlook: select Deleted Items, then Home, Recover Deleted Items from Server, select the items, choose Restore Selected Items and OK.
For new Outlook, Microsoft explicitly says recovered calendar items go to Calendar. For classic Outlook, the short server-recovery page does not specify the destination for each item type: inspect Calendar and Deleted Items after recovery, and use the Calendar-item move procedure above if it is in Deleted Items. These short pages do not establish a universal retention window or account eligibility. If the server option is missing or the item is absent, ask your administrator or consult your account’s current recovery guidance.
Meetings are different from appointments
Restoring a record is not evidence that everyone’s meeting response or cancellation state has been reversed. The recovery pages do not document automatic re-invitation. If you cancelled a meeting you organized, confirm the current arrangement with attendees before sending anything else; agree whether a fresh invitation is needed and make clear which record to use.
Worked example: a personal appointment and a team meeting
A fictional user on a work account deletes a personal appointment by mistake and empties Deleted Items. In new Outlook they open Deleted Items, choose Recover items deleted from this folder, find the appointment, tick it and Restore. It reappears on the calendar.
The same day they had cancelled a team meeting they organized. After recovering their copy, they contact attendees to confirm the cancellation had been received and agree whether a fresh invitation is needed. If they send one, they clearly identify it as the replacement and avoid leaving two apparently active meeting records.
Check: open the restored items on the calendar and confirm date, time and attendees.

- Confirm the restored item on your calendar.
- For a meeting you cancelled, confirm the arrangement with attendees before deciding whether to send a replacement.
- Ask your administrator if recovery options are missing.
Questions
- How long can I recover deleted calendar items?
- The Microsoft pages used here don’t state a time limit. Ask your administrator.
- Does restoring a cancelled meeting re-invite attendees?
- These recovery pages do not establish automatic re-invitation. Confirm the current arrangement with attendees and send a replacement only if needed.
