Use a custom Mac Calendar alert to open a file or send yourself email

A reminder can do more than show a banner in Calendar on Mac. Apple documents custom actions for a message with sound, an email or opening a file. Choose the action for the preparation task you need, then verify its saved details rather than treating it as a phone automation.

Choose an action that matches the task

For a fictional presentation, the speaker wants a local outline ready before the start. Open file is a different goal from an audible reminder or an email to an inbox. Write the desired action, target file or address and intended time before choosing Custom.

Keep the meeting itself at its agreed time. An earlier preparation alert is not a reason to move the event or send the guests another invitation. Use a harmless sample appointment when learning the custom controls.

Configure the native Mac alert

In Calendar on Mac, double-click the event and click its time to reach the Alert menu. Choose Custom, then the supported action. Apple describes Message with sound, Email and Open file. Review the displayed timing and the additional action-specific choices before saving the event.

The documentation also permits adding another alert through the plus control beside the Alert menu. Exchange events are limited to one alert in Apple’s guide, so do not assume every connected account offers an identical multi-alert arrangement.

Review the target separately from delivery

For the outline example, confirm the selected file is the current non-sensitive version and can be opened through the intended local setup. For email, inspect the actual target offered by the control rather than assuming the message goes to the event’s invitees. An email reminder is not the same as inviting a new attendee.

The article does not establish behavior while the Mac is unavailable, guarantee execution after sleep, or promise another device runs the action. Keep an appropriate backup for a consequential preparation deadline and verify the real configuration on your own Mac.

Use the right troubleshooting branch

If the event time is wrong, correct the event at its source. If the custom action points to an old file or unintended address, inspect that action. If the action is a notification that appears silently, examine native Calendar and macOS notification controls separately.

These are native Mac capabilities, not Cloud Calendars custom automation features. Preserve the real event while checking a disposable example without guests.

What to do

  1. Define the action, time and target.
  2. Use the event’s Alert > Custom control in Mac Calendar.
  3. Check account-specific limits before adding another alert.
  4. Observe a harmless example before relying on the action for an important event.

Questions

Does an Email alert invite the meeting guests?
It is a custom reminder action. Inspect its actual target; do not equate it with sending an invitation.
Can every Exchange event have several Mac alerts?
Apple’s guide says Exchange events can have only one alert.
