Keep declined meetings visible in Outlook, or get one back
Declining a meeting usually makes it vanish, which is awkward when you want to remember it exists or change your mind. New Outlook can keep declined meetings on view; classic Outlook cannot, but offers a way back. Arte Soft, the developer of Cloud Calendars, explains Microsoft’s documented options.
Declined meetings by client (per Microsoft)
| Client | Show declined on calendar? | Change your mind |
|---|---|---|
| New Outlook, work/school account | Yes: Show declined events on your calendar; time shows as free | Respond again from the event (steps not detailed on this page) |
| Classic Outlook | No | Deleted Items → original request → Accept or Tentative |
| Personal or IMAP/POP account | Not supported | Use the response options available for that account; the retention setting is not supported |
| Deleted Items already emptied (classic) | — | Ask the organiser to resend |
What most people assume
Once I decline a meeting it is gone unless the organiser re-sends it.
Who can use the setting
Microsoft says showing declined meetings is available only for Microsoft 365 work or school accounts. Personal Microsoft accounts (outlook.com, hotmail.com, live.com, msn.com) and IMAP or POP accounts from other providers are not supported.
New Outlook for Windows
In Calendar, on the View tab, select Calendar Settings. Go to Calendar, Events and invitations, and under Save declined events turn on Show declined events on your calendar, then Save.
Microsoft says declined events then appear on your calendar but your time shows as free. To hide them temporarily, use View, Filter, Hide declined events.
Microsoft says declined events can appear across Outlook clients, Teams and third-party calendar apps when you decline through new Outlook, Outlook for Mac, Outlook on the web, mobile Outlook or Teams. Declining through classic Outlook does not preserve the declined event across those services. The documented promise is prospective: “From now on” after the setting is enabled. Do not rely on it to reconstruct earlier declines.
Classic Outlook
Microsoft states there is no way to show a declined meeting on your calendar in classic Outlook; only accepted or tentative meetings appear. When you decline, the meeting isn’t saved to your calendar and the request moves to Deleted Items.
To change your mind, open Deleted Items (Microsoft notes you may need View, Folder Pane, Normal to see the folder list), double-click the original request and choose Accept or Tentative. If Deleted Items has been emptied, ask the organiser to send the invitation again.
Worked example: a declined review that comes back
A fictional designer on a work account declines Thursday’s design review in classic Outlook because of a clash. On Wednesday the clash is cancelled. They open Deleted Items, find the review request, and choose Accept.
Later the designer switches to new Outlook, turns on Show declined events, and declines another meeting there. It stays on the grid with their time shown as free, so they can still see what they are missing.
Check: after accepting from Deleted Items, confirm the review appears on Thursday and that its time shows as you expect.
