Cancel a booked Google Calendar appointment and what happens to the slot
Cancelling a booked appointment is not the same as deleting a calendar event: it notifies the guest and puts the time back on your booking page. Google also documents a quirk with forwarded confirmations that every booking-page owner should know. Arte Soft, the developer of Cloud Calendars, explains.
Cancellation routes
| Who | How | Result (per Google) |
|---|---|---|
| Host | Event → Cancel appointment → Cancel your appointment | Guest emailed and time released from the cancelled booking;other availability rules still apply |
| Guest | Link in confirmation email, or decline invitation | Booking cancelled |
| Anyone with a forwarded confirmation | Link in the forwarded email | Can cancel the booking |
| Host who wants no rebooking | Use a full-duration Busy hold on a reviewed calendar with checks enabled, or supported adjusted availability | Verify visitor-side output;other settings and refresh can affect what appears |
What most people assume
Only I can cancel appointments people book with me.
As the host
Open the booked appointment in Google Calendar on a computer, click Cancel appointment, then on the booking page that opens click Cancel your appointment. Google says a cancellation email is sent to the person who booked and the cancelled time appears available again on your booking page.
If the time must not be offered again, use a supported availability change. With Check calendars for availability enabled, a Busy hold on a calendar selected for conflict checks can protect the entire appointment interval. Adjusted availability is another documented date-specific control. Do not assume a hold on an unchecked calendar or a zero-duration entry protects the slot;verify the booking page.
As the guest
Google says that to cancel a third-party calendar appointment, use the link in the confirmation email or decline the calendar invitation. The fetched page does not describe rescheduling, so this guide does not either.
Forwarded confirmations can cancel
Google states that if you or the person who booked forwards the appointment confirmation email, the recipient can cancel the booked appointment. Do not forward confirmations to people who should not control the booking; send the time and place in a new message instead.
Two settings that change what reopens
Google’s edit page notes that each slot on a booking page can be booked only once, and that if you turn off Check calendars for availability, all appointment blocks show as open. Leave the check on if cancelled slots should respect your other commitments.
Google’s edit page does not say what happens to existing bookings when you change a schedule’s hours or duration. Contact booked guests directly rather than assuming they are moved.
Worked example: a consultant’s cancelled Friday
In this fictional example, the consultant must cancel a 30-minute Friday booking at 10:00 and keep 10:00–10:30 unavailable. They confirm that availability checking is enabled and the primary calendar is selected, then add a Busy hold covering that full interval before cancelling through the booking workflow. They check that the client receives the supported cancellation notice and send appropriate alternative times separately.
Earlier, the client had forwarded the confirmation to a colleague. The consultant reminds the client that, per Google, anyone with that email could cancel.
Check: open the booking page as a visitor and confirm 10:00 Friday is not offered.

What to do
- Block the time first if it should not be rebooked.
- Cancel through Cancel appointment, not by deleting the event.
- Send the guest a personal note with alternatives.
- Don’t forward confirmation emails.
- Check the public booking page afterwards.
Questions
- Does cancelling reopen the time?
- Google says cancelled appointment time returns to the booking page’s available inventory. It can still be unavailable because of enabled conflict checks, adjusted availability, notice limits or other schedule rules. Check the actual visitor page rather than assume every cancelled time is bookable.
- Can someone other than the guest cancel?
- Google says anyone who receives a forwarded confirmation email can cancel the booking.
