Google appointment schedule: which calendars and events block a booking slot
A booking page is only as trustworthy as its availability settings and the calendars it checks. An unexpected open or missing slot can have several causes. This diagnostic concerns Google appointment schedules; Arte Soft develops Cloud Calendars and does not run Google’s booking pages.
Slot diagnosis
| What you see | Likely cause (per Google) | Check or fix |
|---|---|---|
| Slots open over Busy events despite the intended calendar selection | Check calendars for availability may be off | Verify the master switch before changing calendar selection or events |
| Slot open over a busy personal event | Event’s calendar not selected for conflicts, or plan does not allow secondary calendars | Edit appointment schedule → Calendars; check plan eligibility |
| Slot open over an event in a checked calendar | Event is marked Free | Set the event to Busy |
| Whole day missing | An all-day Busy event, or Unavailable all day in adjusted availability | Make the all-day event Free if it should not block; review adjusted availability |
| Near-term slots missing | Minimum notice (4 hours by default) | Adjust the scheduling window |
| Later slots missing on a busy day | Maximum bookings per day reached, or buffer time | Review booked appointment settings |
| Cannot choose other calendars | Schedule was created on a shared calendar | Check schedule ownership and plan eligibility. If a replacement schedule is needed, verify its conflict checks before retiring the existing page or affecting bookings. |
What most people assume
A booking page automatically avoids everything I can see in my calendar view.
What Google says blocks a slot
First confirm that “Check calendars for availability” is enabled on the appointment schedule. Google says that when availability checks are off, other Busy events do not protect those time blocks, even if you accepted the event. A booked appointment slot still cannot be booked twice. After checking that switch, inspect which calendars are selected for conflict checks.
Google states that appointment times during events set to Busy do not appear on the booking page, and that no times appear on a day with an all-day event set to Busy. It also says that an event you have RSVPed Yes or Maybe to, or any busy event in a calendar reviewed for conflicts, does not appear as open.
The calendars reviewed are, in Google’s words, your primary calendar and any calendars you own, manage or are subscribed to — but only those you select. Open the schedule, choose Edit appointment schedule, then Calendars, and tick the calendars to check for conflicts. Google notes that checking secondary calendars requires an eligible Google Workspace or Google One plan, and that a schedule created on a shared calendar may not let you select other calendars.
Where Google’s pages disagree: tentative and Maybe
One Google page says Yes and Maybe responses block time. Another says unaccepted or tentative Google Calendar events do not block appointment availability. These may describe different states, but the wording overlaps. Do not rely on a Maybe response to protect a slot. If the time matters, put a Busy event on a checked calendar or use adjusted availability.
Date exceptions and booking rules
For holidays and unusual days, use adjusted availability rather than rewriting the weekly pattern. Google lets you choose specific dates where you are more or less available, and Unavailable all day for a date you cannot take bookings. Adjustments can also cover dates outside a recurring schedule with start and end dates.
Other settings hide slots for reasons unrelated to conflicts. Google applies a 4-hour minimum notice by default, and you can set a maximum number of bookings per day and buffer time between appointments. A slot that looks free on your calendar may still be hidden because of one of these rules.
Worked example: a tutor’s Tuesday
In this fictional example, a tutor offers 30-minute sessions from 15:00 to 18:00 on their primary calendar. Assume availability checks are enabled, no extra buffer or daily limit has been reached, and no other holds apply. They also own a Family calendar and subscribe to a School term dates calendar, but only the primary calendar is selected for conflict checks.
On Tuesday a Family event “Pick-up” 16:00–16:30 is marked Busy, but the 16:00 slot still appears, because Family is not checked. A primary-calendar event “Lunch with Sam” at 15:00 marked Free also leaves 15:00 open. A team meeting at 17:00 accepted with Maybe may or may not block 17:00, given the conflicting Google wording. And at 13:00 the same day, nothing before 17:00 can be booked because of the default 4-hour notice.
Check the master availability switch, then select Family under Calendars if the plan permits checking secondary calendars. Change the lunch to Busy only if it should genuinely protect that time. Use an explicit Busy hold or adjusted availability for 17:00 instead of relying on the unresolved Maybe wording, and decide whether the four-hour notice suits the service. Reload the booking page as a visitor after each change and compare the actual slots.
Verify the fix from the visitor’s side
Your own calendar view is not the test. Open the booking page link as a visitor, check the specific day and time, and compare with a list of what you expect to see. Repeat after each change; changing several settings at once makes it hard to tell which one mattered.
If a client has already booked a slot that should have been blocked, the booking exists independently of your corrected settings. Contact them and use Google’s cancellation or rescheduling route for that appointment rather than deleting the event silently.

What to do
- List the calendars that hold commitments you must protect.
- Confirm Check calendars for availability is on, then select the calendars to check; verify eligibility for secondary calendars.
- Mark events that should block as Busy, including all-day ones; do not rely on Maybe responses.
- Use adjusted availability for holidays instead of editing the weekly pattern.
- Reload the booking page as a visitor after each change and compare with your expected slots.
Questions
- Does my booking page check every calendar I can see?
- No. First enable Check calendars for availability, then select eligible calendars for conflicts. The primary and calendars you own, manage or subscribe to can be considered; secondary-calendar checks require an eligible plan. Viewing a calendar in your own grid is not enough.
- Why can a client book during my Free-marked lunch?
- A Free-marked personal event is not a Busy hold. Check that availability checking is enabled, the correct calendar is reviewed, and the event’s Busy/Free state matches your intention. For Maybe or tentative responses, Google’s two cited help pages differ; verify visitor-side output rather than relying on that response alone.
- How do I close the page for a bank holiday without changing every week?
- Use adjusted availability for that date and choose Unavailable all day.
